My Workplace for Outlook™ (MWO) is a suite of web parts that
allow you to:
· View
your Outlook data within your SharePoint sites
· Display
your SharePoint contacts, events, and tasks in a summarized "Outlook Today"
style
· Download
SharePoint contacts, tasks, and events to the Outlook folder of your choice
When you log in to your workplace, you can have your Outlook
information appear with your SharePoint information. This enables you to manage your productivity without
the need to maintain information in two separate locations and keep two separate
applications open. You can view your inbox,
calendar, tasks, and other Outlook information directly from within SharePoint. You can also download tasks, events, and contacts
directly into Outlook for reminder notification and offline use.
NOTE: My Workplace for
Outlook is only available with the Developer Edition and the Small Business Edition
of the Workplace Suite; it is not included in the Professional Edition.
NOTE: My Workplace
for Outlook depends upon the Microsoft Outlook desktop client. It does not work with Outlook Web Access (OWA).

Web Part3
My Mail Folders
This web part displays any Microsoft Outlook folder. The My Mail
Folder web part includes the Quick Bar, which allows you to dynamically change the
Outlook folder being displayed. The My Mail
Folders web part is installed by default with the My Workplace for Outlook solution,
and includes My Public Folder, My Calendar, My Contacts, and My Notes.
My Public Folder
This web part displays the contents of a Microsoft Exchange Public
Folder, such as a company calendar or an employee phone directory. The My Public
Folder web part can also be used to copy SharePoint contacts, events, or tasks from
SharePoint into the Outlook folder of your choice.
My Personal Folder
This web part displays the contents of the Microsoft Outlook
folder of your choice. It can also be used to copy your SharePoint contacts, events
or tasks from SharePoint into the Outlook folder of your choice. To use the My Personal Folder web part, it must
be manually added to My Workplace for Outlook.
My Calendar
This summary web part displays your Microsoft Outlook Calendar.
It can also be used to download your SharePoint events from SharePoint to your default
Outlook calendar. The My Calendar web part
can be configured with the Event Summary web part found in the Events Download section
under the Configuration tab.
My Contacts
This summary web part displays your Microsoft
Outlook Contacts. It can also be used to download your SharePoint contacts from
SharePoint to your default Outlook contacts folder. The My Contacts web part can
be configured with the Contact Summary web part found in the Contacts Download section
under the Configuration tab.
My Tasks
This web part displays the contents of your Microsoft Outlook
Tasks folder. It can also be used to download your SharePoint tasks from SharePoint
to your default Outlook tasks list. The My Tasks web part can be configured with
the Task Summary web part found in the Tasks Download section under the Configuration
tab.
My Inbox
This web part displays your Microsoft Outlook Inbox.
My Journal
This web part displays your Microsoft Outlook Journal folder.
My Notes
This web part displays your Microsoft Outlook Notes folder.
Quick Launch
This web part creates new Outlook items, such as email, tasks,
or appointments.
Unread Messages
This web part displays the number of new and unread messages
for any Outlook-based mail folder.
The summary web parts are line of site roll-ups that roll up
all lists located within the sites and levels specified in the administration window.
Users can apply filters to the information returned for use via the summary display,
data display, and connection to Outlook.
These web parts can be connected to their corresponding Outlook-based
web parts (My Contacts, My Calendar, My Tasks, My Personal Folder, or My Public
Folder), allowing users to download the queried SharePoint items into their desktop
Outlook. These web parts can be found under
the Configuration tab.
Contacts Summary
The Contact Summary web part displays the total number of contacts
that the user has access to for the specified Site URL. Optionally, it can be configured
to display only those contacts created or modified by the current user. The Contacts
Summary web part is accessed via the Contacts Download view of the Configuration
tab.
Events Summary
The Event Summary web part displays a summary of the events to
which the user has access for the specified Site URL. Optionally, it can be configured
to display only those events created or modified by the current user. The Events
Summary web part is accessed via the Events Download view of the Configuration tab.
Tasks Summary
By default, the Task Summary web part displays the tasks that
have been assigned to the currently logged in user. Optionally, it can be configured
to display only those tasks created or modified by the current user. The Tasks summary
web part is accessed via the Tasks Download view of the Configuration tab.
The CorasWorks User Display web part is designed to return information
about the currently logged in user. The information returned is defined via the
web part’s Display Properties and is typically one of the following:

If the current user is an anonymous user, the return will be
"Currently Logged In As Anonymous" or "Anonymous."
NOTE: When implementing
this web part, please let the web part size itself to the web part zone in which
it is placed. If you would like to change the width of the web part, please do so
by changing the width of the web part zone within FrontPage. If you change the web
part width using the web part properties instead, it will automatically reset to
a scroll bar mode.
The CorasWorks Client is a program that runs in the Windows System
Tray (where your computer displays the time). Using the CorasWorks Client, users
can navigate to SharePoint sites and download SharePoint contacts, events, and tasks
to their corresponding Outlook folders.

The Administration Window is displayed for the summary My Workplace
for Outlook web parts only; it does not apply to the remaining web parts.
Site
URL
This optional field is used to identify the URL for the site
you want to access to return a Summary List calculation. This can be any SharePoint
site that resides on the server where this web part resides. If you leave it blank,
it will default to the URL of the site where the web part is placed.
The format for this field is "http://Site-URL/SiteName".
Examples:

Levels
Searched
This optional field is used to define the number of levels to
search for sites and lists to return to for the web part. The default is 1 and the
maximum is 12. If you want to search more than one level, be sure to enter a numerical
value in this box.
Please make sure that a number is entered in this field. If you spell out a number, it will result in an
error and no lists will be found.
Schema(s)
This field is used to select the schema(s) you want to include
in the web part display. If you select a schema, the web part will only find lists
that match that schema’s profile. The schemas that can be utilized with this web
part are listed in the “ REF _Ref107646619 \h Supported
Schemas
Close
Admin
Click this button to save your changes and close the Administration
Window.
NOTE: The Administration
Window is only available within the "Shared View" and by Administrators.
CorasWorks
Client
Toggle this checkbox on to start the CorasWorks Client whenever
the Outlook-based web part loads.
Folder
Properties
Use this property to specify which Outlook folder you want the
web part to display. You can manually type
in the folder path or you can click the “...” button to browse and find a folder.
NOTE: This property
only applies to My Personal Folder and My Public Folder web parts. The default My Mail Folders web part does not
have a Folder Properties option as it only applies to Microsoft Exchange Public
Folders.
Enable Web Part Cache
Toggle this checkbox on to enable caching of the information
returned in this web part to the server.
Web Part Cache Interval (Minutes)
Enter the amount of time, in minutes, that you would like the
information stored on the server.
Cache For Single Web Part
Toggle this checkbox on to enable the cached web part data to
be used only for this web part. If this checkbox is left blank, a web part with
the same name can use the same cached configuration as this web part.
Show Roll-Up Administration
This selectable choice shows the web part’s Administration Window,
allowing administrators to manage the lists and schemas utilized by the web part.
This view is only available to Administrators of the site or web, or it can be viewed
within in a Shared View.
Show Items Created By Me (Only)
Toggle this checkbox on to return only those items that have
been created by the currently logged in user. This overrides the Assigned To functionality
built into the web part.
Show Items Modified By Me (Only)
Toggle this checkbox on to return only those items that have
been modified by the currently logged in user. This overrides the Assigned To functionality
built into the web part.
Summary URL
Enter the URL to which each summary category should be hyperlinked.
Suppress Errors
Toggle this checkbox on to show any errors returned by the web
part. This is useful if a linked site or virtual server becomes unavailable.
Show Data
Toggle this checkbox on to show any data being returned. This
is useful to confirm the information returned from SharePoint lists.
Filter
Administrators have the option to use the Filter field to control
the web part’s return at a higher level. If a filter is defined, users will still
be able to search on the filtered return.
The format for this property is "Field=SearchText"
(Example: [Postal Code] = '11111'). Alternatively, you can use > and < when
filtering date fields. (Example: "Date<7"
will return items that are older than 7 days from today) Filter grouping with parentheses () is not permitted.
The fields available to use for filtering are identified in the
Supported Schemas section of this help, on the “Filterable
Fields” line of each identified schema.

Display
User Name
Toggle this checkbox on to display the User Name of the individual
that is currently logged in. The default is for this checkbox to be left blank.
This information will be displayed within parentheses ( ) after the user's Display
Name. This web part is not active if the user is an anonymous user.
Display
‘Currently Logged In As’
Toggle this checkbox on to display "Currently Logged In
As" above the user's Display Name and/or Display Name (User Name), separated
by a horizontal line above and below. This property is selected by default.
Override
Display
Any text entered in this field box will be displayed instead
of the “Currently Logged In As” information.
The Actions menu allows both administrators and users to execute
common actions in lieu of utilizing search commands. The Show Version action is
available to all users on the system.
To use the Actions menu and view version information, go to the
web part and drop down the web part menu options by clicking on the down arrow on
the top right hand side of the web part.
Drag your mouse over "Actions" and then choose the desired option.
This option causes the Administration view of the web part to
be displayed, which allows Administrators to determine the lists and schemas utilized
by the web part. This option is only available to Administrators.
Show Data
Toggle this option to display the summary data in a table view
format, as opposed to the summarized view.
This selection will show version information within the web part
area, including application, version, organization, authors, and build date. The
link to Close Version Window returns the page back to it original state.
NOTE: Because all
CorasWorks web parts utilize this command for version viewing, every CorasWorks
web part on the page will respond to the Show Version action. This will allow you
to view version information for all CorasWorks web parts at once.
Connectability is a standard protocol that is supported within
a SharePoint environment. CorasWorks navigation and roll-up components can utilize
the connectability interface so CorasWorks web parts can “talk” to one another and
one web part can receive information from another web part. This information can
be used to alter the data displayed within the current web part.
You can only activate a connection when the page is in Design
mode. Once in Design mode, access the web part menu and select Connections. Then
specify the type of connection you want and the web part you want to connect to.
After establishing a connection from an Outlook web part (My
Contacts, My Calendar, My Tasks, My Personal Folder, or My Public Folder) to a Summary
web part (Contact Summary, Event Summary, or Task Summary), a Refresh button will
appear on the Outlook web part that allows you to initiate a download of SharePoint
items from the Summary web part to the Outlook web part. The first time a download
is performed, additional SharePoint views are added to the user's Outlook folder,
allowing them to filter their SharePoint items from their Outlook items.
Users can also initiate a download from SharePoint to Outlook
by using the CorasWorks Client program. You can learn more about the CorasWorks
Client here.
NOTE: Placing multiple
Outlook and Summary web parts on a single page and establishing connections between
them is not supported. Although you can have multiple Outlook web parts and
multiple Summary web parts on a single page, only one of them may have a connection
established.
Using either the My Personal Folder or My Public Folder web part,
you can choose which Outlook folder should receive downloaded SharePoint items;
you must ensure that the Outlook folder is the same base type as the connecting
Summary web part. In other words, you can not connect a Task Summary web part to
a My Personal Folder web part pointing to an Outlook-based Calendar folder and expect
to download tasks into your calendar.
NOTE: Only the default
Outlook Tasks and Calendar folders support reminders. Tasks and events downloaded
to a My Personal Folder or My Public Folder will not have reminders set. This is
a limitation of Microsoft Outlook.
The My Contacts, My Calendar, My Tasks, My Personal Folder, and
My Public Folder Outlook web parts have been specifically designed to consume SharePoint
items via the Contact Summary, Event Summary, or Task Summary web parts. Connecting
any other web parts is not supported.
The Contacts, Events and Tasks Summary web parts can act as List
Providers to the My Contacts, My Calendar, My Tasks, My Personal Folder, and My
Public Folder web parts. You should only connect each Summary web part type to its
corresponding Outlook web part. For example,
you should only connect a Contact Summary web part to a My Contacts Outlook web
part.
CorasWorks web parts have a number of properties that can only
be modified by manually editing the DWP file associated with this web part. You
can edit a DWP file by exporting the web part to a location of your choice, making
the desired changes, and then uploading it back onto your site.
The properties described here allow you to change the function
and display of the web part. Please keep in mind the XML namespace of the web part
you are changing, or these properties will not be enabled within the web part. XML namespaces for all CorasWorks web parts are
provided in the 4For DevelopersHelp_D2HPrivate(-9,656)Overview4
help topic.
Also note that some of these properties some may require the
use of a "<", ">", or "&" symbol. If that
is the case, you will need to replace these characters with their encoded equivalents
of "<", ">", and "&" respectively.
These properties are only viewable in the DWP if the default
settings have been changed.
This property allows you to change the default My Site characteristics
of the web part. The default characteristic modifies the URL "/mysite"
to point to "/personal/User". This allows the web part to search through
the My Site section of SharePoint Portal Server. SPS allows administrators to alter
the URL definition for each SPS server. To accommodate for this, the "MySite"
DWP property was designed to allow administrators to alter the web part to support
their particular SPS My Site setup.

This property allows an administrator to specify whether or not
and Item in a document library returned by the web part should be linked to the
editform.aspx, or go directly to the document itself.
If you set this property to true, the item link will go directly
to the document returned. If you set this property to false, the item link will
take the user directly to the edit page for the item. This property only applies
to document library types.

This property allows the administrator to change the text used
on the "Search" button in the web part’s Search bar.

This property is used to determine the root folder where a document
resides within a list. This property is required in order to permit editing and/or
linking to an item. Since this list property is language-dependant, should a different
language be chosen, the equivalent (URL Dir Name) must be entered.

The following sections explain some basic functions of the various
Outlook web parts.
· Create
a new appointment by clicking the New Appointment toolbar button, located at the
top of the web part.
· Right-click
an appointment for more appointment options.
· Double-click
an appointment to open it.
· When
you create an appointment from the My Calendar web part, the appointment immediately
shows up in your default Microsoft Outlook calendar and vice versa.
· Clicking
a date in the Date Navigator window (the small calendar displayed to the right of
the main calendar) displays that date in the main calendar.
· Create
new tasks by typing the task in the first row of the Task Pad.
· Search
for an appointment by clicking the Advanced Find toolbar button, located on the
toolbar.
· Use
the view tabs located along the bottom of the web part to change the format in which
the calendar displays appointments and events.
· When
in Day/Week/Month view, you can change the number of days the calendar displays
at one time by clicking one of the Days (1, 5, 7, or 31) toolbar buttons.
· Create
a new contact by clicking the New Contact toolbar button, located at the top of
the web part.
· Right-click
a contact for more contact options.
· Double-click
a contact to open it.
· When
you create a contact from the My Contacts web part, the contact immediately shows
up in your default Microsoft Outlook contact list and vice versa.
· Quickly
search for a contact by typing the first few letters of the contact's name in the
Find field before pressing Enter. Clear the search by pressing <ESC> on your
keyboard.
· Use
the view tabs located along the bottom of the web part to change the way the contact
information is displayed.
· Create
a new email by clicking the New Email toolbar button, located at the top of the
web part.
· Right-click
an email message for more email options.
· Double-click
an email to view it.
· When
you receive a new email in the My Inbox web part, the email also shows up in your
Microsoft Outlook Inbox and vice versa.
· Search
for messages by clicking the Advanced Find toolbar button, located on the toolbar.
· Use
the view tabs located along the bottom of the web part to change the way messages
are displayed.
· Create
a new journal entry by clicking the New Journal Entry toolbar button, located at
the top of the web part.
· Right-click
a journal entry for more options.
· Double-click
a journal entry to open it.
· When
you create a journal entry from the My Journal web part, the appointment immediately
shows up in your default Microsoft Outlook journal and vice versa.
· Use
the view tabs located along the bottom of the web part to change the way journal
entries are displayed.
· The
My Mail Folders Web Part includes the Quick Bar, which allows you to quickly change
the My Mail Folder's contents.
· Right-click
the Quick Bar menu to modify the Quick Bar shortcuts or settings.
· Create
a new note by clicking the New Note toolbar button, located at the top of the web
part.
· Right-click
a note for more note options.
· Double-click
a note to open it.
· When
you create a note from the My Notes web part, the note immediately shows up in your
default Microsoft Outlook notes folder and vice versa.
· Quickly
search for a note by typing a keyword for the note in the Find field before pressing
Enter. Clear the search by pressing <ESC> on your keyboard.
· Use
the view tabs located along the bottom of the web part to change the way notes are
displayed.
· Create
a new task by clicking the New Task toolbar button, located at the top of the web
part.
· Right-click
a task for more task related options.
· Double-click
a task to open it.
· When
you create a task from the My Tasks web part, the task immediately shows up in your
default Microsoft Outlook task list and vice versa.
· Search
for a task by clicking the Advanced Find toolbar button, located on the toolbar.
· Use
the view tabs located along the bottom of the web part to change the way the tasks
information is displayed.
NOTE: Although new
view tabs can not be created for the Outlook web parts, views can be customized
by clicking the Customize View toolbar button.
Schemas are what allow roll-up web parts to access, understand,
and display a list. They contain all of the
elements that identify the list: the list type, the fields to look for, the fields
to display and in what order, what to search and filter on, and the percentage of
the display that each column should take up.
The following schemas are supported by CorasWorks My Workplace
for Outlook web parts out of the box. If you want to work with additional schemas
and you have either the Developer or Small Business edition of the Workplace Suite,
you can use the Roll-Up Wizard to create a modified version of this web part that
utilizes additional schemas.

CorasWorks has built in a few commands so that certain actions
can be activated directly from the Search textbox in the web part, bypassing the
need to enter the web part’s Properties Edit window. These commands can be activated
by typing the desired phrase and clicking on the Search button.
This will show the administration view of the web part area to
an administrator, allowing them to determine the lists and schemas utilized by the
web part. This option is only available to Site Collection and/or Site/Web Administrators
and in Shared View.
This will show the web part’s name, version, organization, authors,
and build date. To return the page to its original state, click “Close Version Window”
at the bottom of the web part display. This option is available to all users.
NOTE: Because all
CorasWorks web parts utilize this as a means for viewing the version, all CorasWorks
web parts on the page will respond when this action is selected. This allows you
to identify all web parts created by CorasWorks, with the corresponding information.
This will refresh the current cache if caching is enabled. If
Cache Per User is chosen, this will only refresh the cache for the current user
activating this command. If the opposite is true, the cache will be reset for all
users.
This will search throughout all the returned lists for the login
name of the individual executing the search. This command does not function for
anonymous users.

with the current date and then display the results.
The Outlook web parts don't work.
Ensure you are using the English language version of Outlook
2000, Service Pack 3 or greater. Older versions of Outlook are supported.
Items are not downloading to my Outlook.
This can be caused by any of the following:
· You
have multiple Outlook web parts and summary web parts connected to each other on
the same page. This is not supported. Only one Outlook web part and one summary
web part can be connected at the same time on the same page.
· You
do not have permission to create items in the Outlook folder into which you are
attempting to download SharePoint items. Verify that you can create items in the
Outlook folder by opening Outlook and manually creating an item in the folder.
· You
have connected an incompatible web part to the Outlook web part. Only the CorasWorks
summary web parts are supported for connections to the Outlook web parts.
· You
have chosen an Outlook folder that is not the same base type as the connected summary
web. For example, you are trying to download your Task summary items to an Outlook
calendar. This is not supported.
Not all of my events downloaded to Outlook.
Only events for the current month and the following month are
downloaded. All previous events, and events two or more months from the current
month, must be viewed from within SharePoint.
Reminders are not set on my Outlook items after I download
them from SharePoint.
You are downloading the SharePoint items to an Outlook folder
other than your default Calendar or Tasks list. Outlook does not permit reminders
to be set for any other folders.
How do I remove the Outlook web parts from my computer?
1. If the CorasWorks Client program
is running in your taskbar, you can close it by left-clicking the CorasWorks Client
icon, pointing to CorasWorks Client, and clicking Exit.
2. Close any Internet Explorer windows
you have open.
3. Open your My Computer and navigate
to C:\WINDOWS\Downloaded Program Files
4. Right-Click any CorasWorks icons
and select Remove.
All Outlook web parts should now be removed from your computer.
If you visit a web page that has an Outlook web part on it, they will be automatically
reinstalled.
This is because you do not have the same rights as someone else.
You can only see those sites that you have permission to access.
This means that the URL you entered in the web part’s "Status
Properties" field can not be understood. Please go to the Status Properties
field and double-check how you specified the URL. The format of the URL must be
either http://Site-URL or http://Site-URL/Sub-Site-Name.
I receive the error "The URL you specified was incorrect
and the site cannot be found."

The information in the Summary Table does not change
even though I know I have new tasks/events/contacts assigned to me.
This will occur if Web Part Caching is active. Until the caching
interval has been met by the web part, the cache will not be refreshed. If you require
immediate results, access the web part’s properties and turn off Web Part Caching.
Instead of choosing "OK" in the properties window, click "Apply"
and then re-enable the cache. Click "OK" and refresh the page with the
web part. This should reset the cache with new data.
I don't see a list that I know exists within the site.
This can occur for multiple reasons:
· The
list must have all of the List Template Required Fields stated in the schema in
the “ REF _Ref107646619 \h Supported
Schemas
· The
list must have been created utilizing the correct list template: "Tasks"
for tasks, "Events" for events, and "Contacts" for contacts.
How must the summary lists be set up in order to be returned
by the web part?
· For
tasks, the Task List must be created via the "Tasks" list template.
· For
events, the Event List must be created via the "Events" list template.
· For
contacts, the Contact List must be created via the List Template "Contacts"
list template.
Does the Summary List returned have to be named "Tasks,"
"Events," or "Contacts?"
No, it does not. However, you must make sure that the list in
question was created with the appropriate list template for the corresponding summary
list (Tasks, Events, or Contacts) and that the fields required are within it. Outside
of that, you can name the list anything you want.

Display Web Part
I don't see any display name.
This is because you currently have no display name associated
with your username. Go to "Site Settings," "View Information about
Site Users," and add a display name to your account.

The following updates have been made to My Workplace for Outlook
since it was initially introduced.
